Data Deletion

1. Disconnecting social accounts

You can disconnect any social media account at any time:

  1. Log in to your Hoopoe workspace.
  2. Go to Settings → Social Connections (or the Publish page).
  3. Click Disconnect next to the account you want to remove.

When you disconnect an account, Hoopoe will:

  • Delete the encrypted OAuth access and refresh tokens immediately.
  • Stop all scheduled publications to that account.
  • Stop receiving webhook events from that platform.
  • Remove the account’s connection record from our database.

Content previously published to the social platform is not affected — it remains on the platform under your control.

2. Deleting your workspace

To delete your entire workspace and all associated data:

  1. Log in to your Hoopoe workspace.
  2. Go to Settings.
  3. Scroll to the Danger Zone section.
  4. Click Delete Workspace.
  5. Confirm by typing the workspace name.

This will permanently delete:

  • All brands, campaigns, and content items.
  • All connected social accounts and their encrypted tokens.
  • All CRM contacts, companies, opportunities, and tasks.
  • All inbox conversations and messages.
  • All automation rules and engagement actions.
  • All media assets uploaded to the workspace.
  • All API keys and webhook configurations.
  • All audit logs and analytics data.
  • All workspace member associations.

Deletion is permanent and cannot be undone after the 30-day recovery window.

3. Deleting your user account

To delete your Hoopoe user account entirely:

  1. Log in to Hoopoe.
  2. Go to Settings → Account.
  3. Click Delete Account.
  4. Confirm your identity by re-entering your password.

This deletes your profile, authentication credentials, and personal data. If you are the sole owner of a workspace, you must delete or transfer the workspace first.

4. Requesting deletion by email

If you cannot access your account, you can request data deletion by email:

  1. Send an email to privacy@hoopoe.ai.
  2. Use the subject line: “Data Deletion Request”.
  3. Include the email address associated with your account.
  4. We will verify your identity before processing the request.

Email deletion requests are processed within 30 days.

5. Data retained after deletion

After deletion, we may retain:

  • Anonymised analytics: aggregated, non-identifying usage statistics.
  • Legal records: data we are required to retain by law (e.g., billing records for tax purposes) for the minimum required period.
  • Audit logs: security-relevant logs are retained for up to 12 months, then purged.

All retained data is either anonymised or stored under strict access controls with a defined deletion date.

6. Platform-specific data

When you disconnect a social account from Hoopoe, we delete all tokens and connection data from our systems. However:

  • Content published to social platforms remains on those platforms under your control.
  • To remove published content, you must delete it directly on the social platform.
  • Comments and messages received from platforms may remain in your inbox until you delete the workspace.
  • Some platforms retain their own records of API access. Contact the platform directly to request deletion of their records.

7. Third-party data deletion

If a third party (e.g., a social media platform) requests deletion of data we hold, we will comply within 72 hours unless legally prohibited from doing so.
